1.Overview and scope
Cleamano is management software for cleaning businesses in the United States. This policy explains what information we collect through our website at cleamano.com and through the Cleamano application, why we collect it, and what we do with it.
Two very different kinds of information pass through the platform, and we treat them differently:
- Account information about the cleaning business that subscribes and about the people who sign in. We decide how this information is used, within the limits described here.
- Business records that a subscribing company enters about its own customers, employees and jobs. That company decides what to enter and how long to keep it; we store and process it on their behalf so the software can work.
2.Information we collect
Account and company information. When you create an account we ask for your first and last name, work email address, phone number, a password, your company name, your US state and whether your business is residential, commercial or both. Your company profile can later hold a legal name, postal address, website, license number, tax ID, insurance details, logo, signature image and brand colors that you choose to add.
Authentication and security information. We store a hashed version of your password (we never store the password itself), sign-in sessions, the date of your last sign-in, failed sign-in counts, and the IP address and browser user-agent recorded when you sign up, sign in or refresh a session.
Business records you enter. The software is built to hold operational data: client records (names, phone numbers, email addresses, service and billing addresses, access instructions, notes), employee records, jobs and schedules, quotes, invoices and payments recorded by you, generated documents and their content, and support tickets.
Files you upload. Before/after job photos, employee photos, your company logo and signature image, QR codes and support attachments. Uploads are limited to PNG, JPEG and WEBP images up to 5 MB.
Electronic signatures. When a document is signed in Cleamano, we record the signer's name, email address and role, the signature image, a hash of the signed content, the signing date, and the IP address and browser user-agent used to sign. This is what makes a signature verifiable later.
Subscription and billing information. Card payments are handled entirely by Stripe on Stripe-hosted pages. We never see or store card numbers. We store the Stripe customer and subscription identifiers, your plan, billing cycle, subscription status and period dates, and we keep a copy of the subscription events Stripe sends us.
Support and correspondence. Messages you send through in-app support tickets or by email, including any attachments.
Technical information. Standard server information such as IP address and browser user-agent, and activity records of significant actions taken in the workspace (what was created, changed or deleted, by whom and when).
3.How we collect information
- Directly from you, when you create an account, use the workspace, upload files or contact us.
- Automatically, when your browser connects to our servers (IP address, user-agent) and when the application records activity and sessions.
- From Stripe, which notifies us when a subscription is created, renewed, paid, failed or cancelled.
- From analytics or advertising technologies, but only if they have been enabled on our website. See the Cookie Policy.
4.How we use information
We use information to:
- Create and maintain your account and keep your workspace separated from every other company on the platform.
- Authenticate you, keep sessions valid, and protect accounts against password guessing.
- Run the features you ask for: quotes, scheduling, job tracking, invoicing, and generating documents and PDFs from your data.
- Apply the limits and features of your plan.
- Process subscriptions, renewals and cancellations through our payment processor.
- Send service emails such as account notifications and password resets.
- Answer support requests.
- Detect, investigate and prevent abuse, fraud and security incidents, and keep records of significant actions.
- Comply with legal obligations and enforce our terms.
We do not sell personal information for money, and we do not use the business records you enter about your own customers to market to those customers.
6.Data you enter about your own customers
When you add a client, an employee or a job photo, you decide what is collected and why. You are responsible for having the right to enter that information, for telling the people concerned how you use it, and for obtaining any consent your own privacy practices or applicable law require — for example before photographing a customer's property or collecting an electronic signature.
We process that information to operate the service for you, to keep it secure, and where the law requires. We do not use it for our own advertising and we do not share it with other companies using Cleamano.
8.How long we keep information
We keep your account and business records for as long as your account exists. If a trial ends or a subscription stops, access to the workspace is suspended but the data is kept, so that you can pick up where you left off if you subscribe again.
The platform does not delete accounts automatically. To have your account and its data deleted, write to support@cleamano.com from the email address on the account. We will confirm the request before acting on it, since deletion cannot be undone.
Some records may be kept longer where we need them for security, dispute resolution, accounting or legal obligations — for example subscription records and security logs.
9.How we protect information
Passwords are stored as bcrypt hashes, never in plain text. Accounts lock temporarily after repeated failed sign-in attempts. Sessions use short-lived access tokens. Each company's data is isolated, and what a user can see depends on their role. Traffic between your browser and our servers is encrypted in transit. Credentials for our payment provider are stored encrypted.
One point deserves attention: files you upload are served from addresses that are not published, listed or indexed, but anyone who has the exact link can open the file. Treat those links as private, and avoid uploading documents that must never be seen by anyone outside your company.
No online service can promise perfect security. We work to protect information, and we ask you to help by using a strong, unique password and limiting who has access to your workspace. Details of our security practices are on the Security page.
10.Your choices and privacy rights
You can view and correct most of your information directly in the workspace: your profile, your company profile, and the records you have created. You can delete business records at any time from the application.
You can also write to support@cleamano.com to ask what personal information we hold about you, to correct it, or to request deletion of your account. We may need to verify your identity before acting, and we may keep information where the law allows or requires it.
California residents. California law gives residents rights over their personal information, including the right to know what is collected, to request deletion, to correct inaccurate information, and not to be discriminated against for exercising those rights. We do not sell personal information for money. Where analytics or advertising technologies are enabled on our website, information about your visit may be shared with those providers; you can limit this through your browser and the provider opt-outs listed in our Cookie Policy. If you are an employee or customer of a company that uses Cleamano, that company controls your information. Please contact them directly; we will refer your request to them.
11.Children's privacy
Cleamano is a tool for businesses and is not directed to children. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, contact us and we will delete it.
12.Users outside the United States
The service is built and offered for cleaning businesses in the United States, and information is processed where our hosting provideroperates. If you use the service from another country, you understand that your information will be transferred to and processed there, under laws that may differ from those of your own country.
13.Changes to this policy
We may update this policy as the product evolves. When we do, we change the « last updated » date at the top of this page, and for significant changes we will give account holders notice by email or in the application before the change takes effect.
